This affords multiple benefits such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Easier list and unsubscribe status management,<\/li>\n\n\n\n<li>University email traffic control to ensure your email won&#8217;t land on the same day when the recipient is already inundated with NC State emails,<\/li>\n\n\n\n<li>Proofing to ensure no misspellings, typos, or broken links, and<\/li>\n\n\n\n<li>Post-send reporting to highlight how well the message performed<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Annual Quota System<\/h2>\n\n\n\n<p>EMDS 2.0 uses an annual quota system where a group specifies how many messages and sends are needed over the next fiscal year. This is information is shared with UCOMM in May. The group will then be billed in July\/August for that fiscal year&#8217;s capacity.<\/p>\n\n\n\n<p>Each January a usage audit will be performed and shared with the group so that they can see how their EMDS 2.0 usage is tracking against their planned capacity. Additional capacity can be procured at any point during the fiscal year.<\/p>\n\n\n\n<p>If a group is new to EMDS 2.0, they can opt-in to the system at any point during the fiscal year. Renewals for subsequent years will follow the fiscal year schedule outlined above.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Pricing and Annual Usage Cycle<\/h2>\n\n\n\n<p>There are two components that are used to calculate a group&#8217;s annual costs: the number of sends and the number of messages. These terms are defined as follows.<\/p>\n\n\n\n<p><strong>Sends:<\/strong> the number of individual emails sent from Acoustic to constituents. This will generally be measured in the thousands.<\/p>\n\n\n\n<p><strong>Messages:<\/strong> a message is an individual email messages created within the Email Generator and sent to constituents. The message might be sent to multiple groups of constituents, but the message is consistent between those groups with no content changes.<\/p>\n\n\n\n<p>The costs for sends and messages are added together to get the total annual cost. The sends cost is based upon the cost incurred by University Communications and Marketing to procure sending quota from Acoustic. The messages cost is based upon the labor cost to compile recipient lists, schedule and test the email, conduct proofing, create an analytics report and any other requirements to send out a message.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Cost Calculations<\/h3>\n\n\n\n<p>Sends Cost = Number of Emails Sent \/ 1000 * $4<\/p>\n\n\n\n<p>Messages Cost = Number of Messages * $100<\/p>\n\n\n\n<p>If additional capacity needs to be purchased off cycle during the fiscal year, additional messages can be purchased in batches of five. Additional sends can be purchased in blocks of 50,000. These additional messages and sends are purchased with the same rates listed above.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Example Use Case<\/h4>\n\n\n\n<p>The following example walks through how the &#8220;College of Communication&#8221; decides what capacity to procure, identifies the forecast cost for budget planning, and what happens if they go over their capacity mid-year.<\/p>\n\n\n\n<p>In May the College of Communication responds to University Communications and Marketing&#8217;s call for new EMDS 2.0 users for the upcoming fiscal year. They had been using &#8220;EmailMonkey&#8221; as their previous email sending platform, but they were tired of managing recipient lists manually and coordinating sends within their the subunits of their college.<\/p>\n\n\n\n<p>In a meeting with UCOMM they go through their EmailMonkey account and see that they sent 23 messages and 320,000 sends over the last year. To add a bit of padding, they choose to procure 25 messages and 350,000 sends for the upcoming fiscal year.<\/p>\n\n\n\n<p>The cost of this is calculated as follows:<\/p>\n\n\n\n<p>Number of Emails Sent \/ 1000 * $4 = Sends Cost<br>350,000 \/ 1000 * $4 = $1,400<\/p>\n\n\n\n<p>Number of Messages * $100 = Messages Cost<br>25 * $100 = $2,500<\/p>\n\n\n\n<p>Sends Cost + Messages Cost = Total Annual Cost<br>$1,400 + $2,500 = $3,900<\/p>\n\n\n\n<p>The College of Communication would be able to use EMDS 2.0 starting July 1, and they would receive an invoice in July or August for $3,900.<\/p>\n\n\n\n<p>As the fiscal year progresses they keep using the EMDS 2.0 process to send emails, and they receive their mid-year usage report in January. The college is on track with their usage, but they know that they will have to send their messages to more people than planned because of an unexpected dean search process.<\/p>\n\n\n\n<p>The calculate they&#8217;ll need 80,000 additional sends to ensure they can reach their entire set of alumni with the dean retirement and search information. They let UCOMM know this, and they receive a mid-year invoice for the additional sends. Since mid-year sends can only be procured in blocks of 50,000, they receive and invoice for 100,000 additional sends.<\/p>\n\n\n\n<p>Number of Emails Sent \/ 1000 * $4 = Sends Cost<br>100,000 \/ 1,000 * $4 =  $400<\/p>\n\n\n\n<p>In May UCOMM will reach out to see if the College of Communication would like renew for another fiscal year.
